It is our aim to make your visit to our farm a beautiful experience that you will treasure for many years and wish to repeat time and again. We ask that you read and accept the following terms and conditions which must be complied with by all persons visiting Watercress Lodges and Campsite as a guest. These enable us maintain our standards, to assist in proper management and ensure your safety as well as establishing a clear legal contract for cancellation, damage and exceptional circumstance.

Lodge T&Cs

General T&Cs

The person whose name appears on the Booking Form agrees to take full responsibility for ensuring that all members of the party adhere to the Conditions of Let set out.

In these Conditions of Let, “Owner” refers to the owner of the property you are booking, “Property” refers to the Lodge you are booking.

The number of people occupying any one Property is limited to that stated in the brochure or website, unless by prior consent with the Owner.

No Smoking inside the Lodges.

Entrance to the Ropley Station Area is strictly prohibited after 4.30pm unless using the bridge to cross to go down Station Hill.  You maybe liable to prosecution if found in the Station Area.

You accept that the responsibility for personal property of guests occupying the accommodation is solely theirs. All vehicles are also left at the guests’ risk. Guests agree to absolve the Owner of any responsibility for any accident or mishap to persons or property whilst on the premises or whilst engaged in any activity therein, or from any illness or injury arising from any causes whatsoever.

You agree to use the Property solely for its intended purpose as self-catering accommodation and to accept the Owner’s right to refuse to hand over the Property to any person deemed unsuitable to take charge. Causing a nuisance or disturbance to neighbours or other guests, unreasonable behaviour or disrupting the running of the farm may result in the Owner requesting you to leave.

You agree to allow the Owners or agents access to the Property at all reasonable times. We will only ever request access to your property in case of an emergency, e.g. a water leak.

You must respect and look after your accommodation during your stay and you must leave the Property clean and tidy. Please let us know of any damage or breakages so we can repair or replace them for the next guests. We reserve the right to charge for any damage or breakages.

Guest arrival time is from 3pm onwards, and you must vacate the property by 10am at the latest on your day of departure (unless special arrangements have been made with the Owner).

All of our portable electrical appliances have been tested and approved within the terms of the new Fire Assessment Regulations. As the use of your own personal electrical equipment is out of our control it must be at your own personal risk.

Children should be adequately supervised at all times and are the responsibility of parents/guardians.

Prices include all linen, towels, heating, water, electricity and taxes.

For stays of 14 days or more the linen will be changed on the normal changeover day Friday.

Payments

You must pay a 25% deposit on booking, with the remainder of the balance payable four (4) weeks before the start of the Let.

If a booking is made less than 4 weeks before the start of the holiday please send the full rental charges at the time of booking, having first checked that the Property of your choice can be reserved for you.

Failure to pay the balance of rental charges due (28 days prior to arrival), will result in the Owner treating the Property as available for re-booking. No reminders are sent out.

Payment by cheque/cash /bank transfer or Paypal.

Cancellations

Please notify the Owner of any cancellation in writing. If a notice of cancellation is received between the dates of your deposit being received and the final payment being due then the deposit will be retained unless the Property can be re-let. If cancellation is made within four weeks of the holiday start (i.e. the whole rent has been paid) then the whole amount paid will be retained unless the Property can be re-let. If a re-let is successful then a full refund will be made, less an administration fee of £25 per week. If the Property cannot be re-let then no refund will be given.

To safeguard against cancellation charges & other unforeseen eventualities we strongly recommend Cancellation Insurance.

Should the Property, subsequent to booking, become unavailable through any cause, you must accept that the Owner’s liability is limited to the amount of any rent paid.

Changeover Days

Arrivals

Guest arrival time is from 3pm onwards, please get in touch before arriving to arrange check-in details.

Departures

You must vacate the Property by 10am at the latest on your day of departure unless special arrangements have been made with the Owner.

This is to allow us to prepare the Property for the next guests.

Pets

Pets are allowed but only in The Winchester and Alton Lodges.

Any damage will need to be paid for.

It is the responsibility of the owner to clean up after their dog/pet and for it not to be a nuisance to other guests.

Safari Tent T&Cs

General T&Cs

Please note:

  • You are strictly prohibited from entering the Ropley Station area after 4.30pm unless using the bridge to cross for Station Hill.
  • You are prohibited from drying clothes within 2 metres of the Wood Burning Stove and there must be no direct contact.
  • The Wood Burning Stove must be closed down before you leave.
  • Any special event tickets must be pre-purchased before you enter the station area or purchased from the ticket office asap.
  • Strictly no chemical waste is allowed on site.
  • There are four drinking water points equally spaced along the road side of the campsite.
  • Halogen heaters and lamps are prohibited at all times.
  • Generators and air conditioners are prohibited.
  • BBQs are permitted but please make sure your food is cooked and the BBQ is completely extinguished after use.
  • Open fires and burning of wood on BBQs are strictly prohibited.
  • A strict 5mph speed limit operates on the site at all times. Care should be taken when leaving the site onto the lane and gaining access onto the main highway.
  • Please do not use washing lines or hang anything over the trees, bushes or fences.
  • Only service guide dogs allowed on site and in any campsite buildings.
  • No parties permitted on site.
  • Think of others regarding noise at all times and keep to a minimum between 10.00pm and 9.00am so as not to disturb fellow campers.
  • Respect other camper’s privacy.
  • Please do not tip used oil or boiling water onto the grass and keep hot pans/kettles raised as these can scorch the grass.
  • Chinese lanterns and fireworks on campsite and surrounding areas are prohibited.
  • No vehicles or cycles of any sort to be driven/ridden around for amusement.
  • No excess use of water i.e. washing of vehicles or paddling pools etc.
  • Visitors not permitted, nor is there parking for visitors and you may be asked to leave.

Breakages and Damage

If on your arrival you find any items or fittings, utensils, crockery or cutlery is broken, damaged or missing, please report it to us and it will be replaced. We do accept a degree of wear and tear but should any significant damage or breakage occur during the period of your stay you may be held responsible for and must make good to the lowest market value. We reserve the right to charge for excessive cleaning where a Safari tent has been left in an unacceptable condition, through waste, litter, interference in the structure, movement of furniture and contents etc.

Children

The farm is a wonderful place for children to play but parents or guardians are responsible for them at all times. Please always use a fire guard (provided) on the wood burning stove and do not leave them alone around the BBQ. Children must not play unsupervised anywhere on the farm or at the Railway. Watercress Lodges and Campsite accepts no responsibility for injury incurred on site.

Terrain

Bring appropriate footwear. Watercress Lodges and Campsite accepts no responsibility for injury incurred on site.

Peace and Tranquillity

Anyone committing a nuisance or disturbing the peace of Watercress Lodges and Campsite will be asked to leave immediately and without a refund. No loud music is permitted.

Maximum Occupants

Safari Tents can accommodate a maximum of four people and one cot.

Negligence

Guests will be held responsible for any fire, damage or alteration to the structure caused by negligence.

Stolen Property

Watercress Lodges and Campsite cannot be held responsible for any lost or stolen property.

No Smoking Policy

All Safari Tents have a strict No Smoking Policy. Anyone who smokes outside of the tents is responsible for disposing of their cigarette butts in a bin and must not litter the surrounding area.

No Fire Policy

Fires are restricted strictly to the wood burning stoves and BBQ fires only.

Safari Tent Structure

It is prohibited to interfere with or adapt the structure of the Safari Tents in any way.

Group Bookings

Unlike many luxury camping companies we don’t turn away adult groups. However, we need to make it clear that we are primarily a family campsite and are only able to accommodate groups who want to enjoy our quiet rural location with outdoor activities and relaxed evenings chatting around a fire. If you like jaunting off to town and returning late into the night, then we are probably not for you.

We’ve had lots of really lovely groups of adults of all ages staying with us. If your group fits in with our ethos then Watercress Lodges and Campsite should be a great place to stay and for you and your friends to enjoy.

Tent provisions

What We Provide For Safari Tents:

  • Hot water bottles (use at own risk)
  • Cooking equipment

  • One basket of logs and a bag of kindling, matches, fire lighters (more logs can be purchased from reception)

What You Need To Bring For Safari Tent

  • Torch
  • Spare batteries
  • Hat in case of a cold night
  • Slippers as the floors are wooden and you may wish to leave shoes by the door
  • First aid kit
  • Extra bedding if required
  • Towels
  • BBQ coal etc.
Payments

Booking

When you make a booking and payment an email confirming the dates and times of your holiday will be sent to you. Booking and payment is considered the establishment of a legal contract.

Payment

Booking requires an advance deposit payable upon booking of 25% of the total cost for Safari Tents and the balance must be paid 30 days in advance of arrival.

Cancellations

Cancellation by you

  • As soon as you know you need to cancel, call the manager on 07907 335236 and confirm your cancellation in writing or by email to info@watercresslodges.co.uk. The cancellation can only be accepted by the person who made the reservation. Cancellation charges will apply and will be calculated as follows from the date your written instructions are received. All refunds will be subject to an administration fee of £20.
  • Length of time Cancellation charge: 30 days or more £10. Within 7 days 100%

Cancellation by us

  • Extreme Conditions: Watercress Lodges and Campsite reserves the right to cancel a holiday in light of extreme conditions of: weather, terrorism or war. In any of these very unlikely circumstances your full payment will be returned to you.
  • Emergency Contingency: Watercress Lodges and Campsite reserves the right to cancel a holiday at short notice if for unforeseeable circumstances we are unable to provide safe accommodation due to extreme conditions, ill health, fire or administration or any other extenuating circumstance. Under such unlikely circumstances your full payment will be returned. Watercress Lodges and Campsite cannot accept liability or responsibility for any loss, including consequential loss caused by cancellation.
Changeover Days

Arrival

Safari tents are available from 3.00pm on day of arrival and must be left in a clean and tidy condition not later than 10.00am on day of departure.

Departure

On departure all tents are to be left clean and tidy. All rubbish is to be disposed of responsibly in the bins/recycling bins and any breakages reported to us.

BBQs and log burners must be left clean and emptied of charcoal/soot.

Pets

Dogs are not allowed to stay on our campsite.

Health and Safety
  • Dustbins and recycling bins are in the area to the left of the shower block. Please use these for all recyclable materials to help our environment.
  • Please put all non-recycling rubbish in plastic bags with the tops tied, into the bins. Do not leave any bags beside the bins, as the local wildlife will empty them during the night. Also please avoid leaving sharp objects or broken glass where they could become a hazard.
  • Watercress Campsite and the surrounding country lanes have no lighting whatsoever; it is advisable to bring a good torch.
  • Once on site please make yourselves aware of the nearest fire point which is next to the shower block.
  • We have an abundance of wildlife in the area and often have sheep and lambs in the adjoining field. Pregnant women should avoid any contact with sheep and lambs and may wish to seek advice before booking

For the convenience of our guests, we reserve the right to terminate your stay without compensation, where the unreasonable behaviour of the persons named on the booking or their guests might impair the enjoyment, comfort or health of other guests, or our staff. A no nuisance deposit may be requested at the discretion of Watercress Campsite management for any parties of £50 per person, held by bank transfer but fully refundable behaviour permitting.

Availability of facilities

The operation of our campsite is subject to legislation and the guidelines laid down by the Health and Safety Executive and local authorities’ code of practice. We accordingly reserve the right to adjust our services in order to meet these standards.

It is possible that in some circumstances a facility may have to be temporarily withdrawn, due to maintenance, renovation, adverse weather conditions, changes in government legislation or any other factor outside our control.

Data protection the information you give us in connection with your booking is held securely on our computer system and dealt with in accordance with the Data Protection Act.

Our contract is subject to these conditions of booking and the provisions detailed above. The personal details you provide, including home address and age must be true and correct. We reserve the right to decline or terminate the booking of any guest(s) whose party make-up or behaviour interferes or may interfere with the general comfort of other guests or staff. In the event no refund will be made.  The price paid at the time of booking is guaranteed. However if the booking is amended after a price increase then the new price will be the applicable.

Camping T&Cs

Your Pitch

Pitches are allocated on first come first served basis. Watercress Campsite is unable to guarantee any particular pitch. You are advised to check in with your complete party, to ensure pitches together. Only those listed and paid for on the booking may occupy your pitch and use the facilities. If this legal requirement is not met then your booking will be terminated and you will be asked to leave, with no refund made. Only one tent per pitch. Please dispose of all rubbish as you vacate your pitch. Bins are provided onsite as well as recycling bins. We kindly ask you to separate your rubbish if possible into recyclable and non-recyclable bins.

Special Requirements

You are able request any special requirements via our online booking system on our website info@watercresslodges.co.uk  and we will try to accommodate these. If you wish to discuss any special requirements, then please advise our Reservations Team on 07907 335236 when making your booking. Please note that although we will endeavour to meet your requests, this is not a condition of booking.

General T&Cs

Please note:

  • Tents larger than ‘six man’ or 6m x 4m, by prior arrangement only.
  • Strictly no chemical waste is allowed on site.
  • Entrance to Ropley Stations is strictly prohibited after 4.30pm unless using the bridge to cross over to walk down Station Hill. You may be prosecuted if found in the station area.
  • Tickets for special events must be booked pre-event on the Watercress line website or purchased from the ticket office before entering the station.
  • We now have a freezer for use of campers to keep their ice blocks cold.  We do not accept responsibility if ice blocks go missing.
  • Price is for 1x tent and two adults and one vehicle, supplements apply.
  • We are based right next to the Ropley Steam Railway Station, at times the trains will start early or steam/smoke may come across the site.
  • There are 4 drinking water points situated equally spaced along the road side of campsite.
  • Halogen heaters and lamps are prohibited at all times.
  • Generators and air conditioners are prohibited.
  • Maximum of 3 units per group booking.
  • BBQs are permitted but if possible at our communal site to the right of the shower block using disposable BBQ’s. or on bricks so not to scorch the grass.   Please make sure your food is cooked and the BBQ is completely extinguished after use and you are mindful of other campers.
  • Open fires and burning of wood on BBQs are strictly prohibited.
  • A strict 5 mph speed limit operates on the site at all times.  Care should be taken when leaving the site onto the lane and gaining access onto the main highway.
  • Please do not use washing lines or hang anything over the trees, bushes or fences.
  • Only service guide dogs allowed on site and in any campsite buildings.
  • No parties permitted on site.
  • Think of others regarding noise at all times and keep to a minimum between 10pm and 9am.  So not to disturb fellow campers.
  • Footballs are to be used in the paddock area near the entrance and not by the shower block or cars.
  • Respect other camper’s privacy.
  • External gas bottles are not permitted.
  • Please do not tip used oil or boiling water onto the grass and keep hot pans/kettles raised as these also scorch the grass.
  • Chinese lanterns and fireworks on campsite and surrounding areas are prohibited.
  • No vehicles or cycles of any sort to be driven/ridden around for amusement.
  • No excess use of water i.e. washing of vehicles or paddling pools etc.
  • Visitors not permitted, nor is there parking for visitors and you may be asked to leave.

Children

Children remain the responsibility of their parent(s) or guardian(s) at all times.

It is important that you know where your children are at all times

Please take care

Please treat the property, facilities and surroundings of the campsite with respect and care so that other guests may continue to enjoy them. In the event that you notice damage to any facility, please report on 07907 335236 immediately so that we can take appropriate action.

Please also take care when walking around Watercress Lodges Campsite and remember that you are in an unfamiliar environment, particularly at night. It is always advisable to carry a pocket torch to assist you and to avoid any holiday accidents.

In line with current legislation, please note that all public buildings within the resort are non-smoking. Please be aware that fines can be imposed to anyone not adhering to this law.

Arrival and Departure

Your pitch is available and you are able to check-in from midday on your day of arrival. Pitches will not be held after 6pm on your day of arrival unless prior arrangements have been made with Watercress Campsite.

On your day of departure you must have vacated your pitch by midday unless a half day supplement has been paid in advance during your check-in. Failure to vacate your pitch by midday will result in a charge to the total of 50% of one day’s booking fee.

You will need to have your booking confirmation or receipt available should payment need to be checked.

On Arrival

  • At busy times the area between the shower block and lodges may be used but please call to confirm ok.
  • Please do not park your car or vehicle on the grass.
  • You can temporary park to drop off your equipment then once this has been done there is parking available near the entrance or in places down the left have side.
  • BBQ’s are allowed but we would hope that you are mindful of other campers and do not cook on the grass.  Please use bricks or use to raise or the brick built ones on the site.
  • The bins are situated at the top of the site and by the shower block.
  • Please leave the shower block and wash house facilities as you would like to find them for the enjoyment of other campers.
  • Fresh water taps are to be found down the left hand side of the site at different points before you reach the shower block.
  • For safety reasons, when returning to the site, please cross over using the bridge and never cross the train track as trains do run at night.
  • The garage does sell basic supplies or we have a community run shop that is based in Ropley village.  This sells lots of local produce. The shop can be found by coming down Bighton Hill and crossing over the main road and heading straight over and up into the village.
  • The trains stay overnight at Ropley Station and at times they can be heard and Steam can come across the site if the wind is in the wrong direction.
